Asset Assign lets you bulk-add your entire inventory at once using a CSV file. Here is how to get it right on the first try.
Step 1: Download the Template
Go to Inventory > Import CSV and click Download Template CSV. This gives you a pre-formatted file with the correct column headers and example rows.
Step 2: Fill in Your Items
The template has five columns:
- name (required): The item name. For Letters, Numbers, and Symbols, this must be a single character (A, 1, &). For multi-word items like "Cowboy Boot" or "Heart," use the Other Marquees category instead.
- category (required): Letters, Numbers, Symbols, Other Marquees, Backdrop, Other, or any custom category you have created.
- total_quantity (required): How many of this item you own. Must be a number.
- description (optional): Any notes about the item (e.g. "3ft Unit" or "Rose gold finish").
- style (optional): If you carry the same letter in multiple sizes or finishes, the style column separates them. See "What Are Styles and How Do They Work?" for details.
Step 3: Delete the NOTE Rows
The template includes instructional rows at the top that start with "NOTE:". Delete all of them before uploading.
Step 4: Export as CSV
This is the most common mistake. Your file must be a true CSV (plain text), not a spreadsheet file. Even if the filename ends in .csv, it may still be in spreadsheet format. Here is how to export correctly:
- Apple Numbers: File > Export To > CSV > Save
- Microsoft Excel: File > Save As > choose "CSV (Comma delimited)" or "CSV UTF-8 (Comma delimited)"
